UK GDPR and children's data
- ArcGabriel Ltd is registered with the Information Commissioner's Office, registration ZC219485.
- A data protection impact assessment and an assessment against the ICO's Children's Code were completed for the product.
- A child never has a login and we hold only a name and an age band, never a date of birth. A parent or guardian holds the record, can see every lesson and can delete any of it.
- Filming needs the permission of the rider, or of the parent and the child. A child's refusal stands.
- Video is shown only to the people on the lesson, through short-lived signed links, is never used for advertising, training or marketing, and deletes itself at the end of the period the coach sets.
- A rider's health declaration is optional, is encrypted, and is opened only by the coach who teaches them, with each opening recorded under the coach's name. It never appears on a list, a report or an export.
- Riding Hall carries no advertising and sells no data. The providers that process information for us are named in the privacy notice, with the retention period for each kind of record.
- You can access, correct and delete your information, and withdraw filming permission, from the product's own screens, and you may complain to the ICO.
The riding establishment licence record
In England a riding school holds a licence under the Animal Welfare (Licensing of Activities Involving Animals) (England) Regulations 2018, and DEFRA's guidance sets the conditions. Riding Hall keeps the records those conditions ask a school to hold, and tells the school what is missing or about to expire:
- the licence, its authority, number and expiry; public and employers' liability insurance; the vet inspection;
- a horse register with each horse's name, passport and microchip numbers, and a maximum rider weight recorded for each horse;
- a registration for every rider with an emergency contact, and a signed Code of Conduct;
- for each coach, the date, level and outcome of a DBS check (the certificate itself is never stored), first aid, accreditation and insurance as stated;
- risk assessments, the accident book with the question of whether an incident is reportable under RIDDOR, tack and equipment checks, and an audit pack for an inspector.
Riding Hall supports a school's record-keeping. It does not hold the licence, inspect the school or decide whether the school meets its conditions: that remains the school's responsibility and the local authority's to inspect. The licence record applies to England.
Payments
- Who is paid. A coach or school sells its own lessons. Card payments for a lesson go through Stripe straight into the coach's own Stripe account, or into the school's own Stripe account for a school's classes. Riding Hall takes no commission on lessons.
- Cards. You pay on Stripe's own hosted checkout page, which holds the card details and handles the bank's strong customer authentication where it is asked for. Riding Hall never sees a card number.
- A class is unlocked by Stripe's confirmation, never by the page you return to, so a class is not shown as paid until the payment has been confirmed.
- Other ways to pay. Where a class allows it, you can pay at the lesson, or by the coach's or school's payment link. The coach or school marks those payments received.
- Prices. Every price is stated in the currency of the coach or school before you pay. A subscription to Riding Hall is in pounds sterling, and VAT, where it applies, is shown on the invoice.
- Subscriptions. Coach and school plans renew until cancelled. An annual plan is refunded in full if cancelled within 14 days of the first payment, and we write 30 days before it renews. The full terms are on the terms page.
